Scheduling Meetings: Green Means Free

You need to schedule a meeting with colleagues in your organisation or team. Now of course you can use the Scheduling Assistant to find the best time for the meeting, but did you know that you can do this directly when setting up the event?

Start off the meeting request as normal by clicking on New Event from the Calendar Home Menu. If you are a delegate for your executive or client, then you will see an extra option called Meeting with All. This will automatically add anyone you have delegate permission for to the meeting request.

As Lou my PA is my delegate and wants to book a meeting with me we will use this option

In the meeting request that is now on screen we can see when whether everyone available.

On the mini calendar on the right, we can see that Shelley and Lou are included in the meeting (see their pictures at the bottom) and that Shelley is not available at the selected time. The time on the calendar has gone red.

Next Lou clicks on Find Time and is offered a selection of times that the Exchange Calendar knows are free.

When Lou selects one of the free times, the time in the calendar on the right shows green and both pictures get green ticks.
