Raw notes done but not ready to share? This Copilot prompt turns them into clear, structured minutes in seconds.
Your Notes Are Done. Now Let Copilot Turn Them Into Proper Minutes.
You know when you finish a meeting, open your notes, and think — these are fine, but I wouldn't feel great sending them on as they are?
Raw notes are useful. But they're not minutes. They're usually a mix of decisions, half-finished sentences, things someone said, and actions buried somewhere in the middle. Turning them into something readable takes time you don't always have.
This is exactly the kind of task Copilot handles well — not by inventing anything new, but by bringing order to what's already there.
The problem with sending raw notes
The issue isn't that your notes are bad. It's that they weren't written to be read by someone who wasn't in the room.
Without structure, the reader has to do all the work — scanning for actions, trying to work out what was decided, figuring out what happens next. That slows approvals, creates confusion, and means follow-ups get missed.
Proper minutes have a structure that does that work for the reader instead.
How to do it: the Copilot prompt
At Koffee Island, the operations coordinator takes quick notes during their weekly supplier review. After the call, she pastes them straight into Copilot with this prompt — and has polished minutes ready to send within two minutes of hanging up:
The Copilot prompt:
Role: Acting as my formatting assistant
Goal: Turn these raw notes into clear, readable meeting minutes
Context: Include the meeting date and attendees
Steps: Re-structure the content into Decisions, Actions, and Notes, then add a short Next steps section
Expectations: Keep it concise — no more than 300 words
Copilot restructures everything into clearly labelled sections. Decisions are separated from discussion. Actions are visible at a glance. The Next steps section means whoever reads it knows exactly what happens after the meeting.
Why this helps
Approvals happen faster. When minutes are well-structured, people can skim them in 30 seconds and confirm they're accurate. That two-day approval chain gets much shorter.
Nothing gets lost. Actions buried in narrative notes get missed. Actions in a clearly labelled section get followed up.
It takes the burden off you. The writing-up part of meeting admin is one of those tasks that eats time and mental energy out of proportion to its actual value. Copilot handles it; you just check it.
Quick win
After your next meeting, paste your notes into Copilot with the prompt above. Add the date and attendees in the Context line. Send the structured version instead of the raw notes.
Notice how much more confident you feel hitting send.
